Summary
- We have a Power BI Pro Subscription.
- This subscription does not include any AI tools therefore we do not have access to Copilot.
- Power BI Desktop is how we create a local copy of the Power BI project. We can then publish and Share them using the Power BI Server.
- We can access Power BI in Teams. I have pinned this to my Teams to try it out.

The Differences according to Chat
Power BI Free
- Best for: Individual users who want to create and view reports on their own.
- Features: Users can connect to various data sources, create reports and dashboards, and use the Power BI Desktop for data modeling and visualization.
- Limitations: Sharing is limited. You can't share reports with others unless they also have a Pro license, and you can't use advanced collaboration features.
Power BI Pro
- Best for: Teams and organizations that need to share and collaborate on reports and dashboards.
- Cost: There is a per-user monthly fee (around $9.99 per user per month, but this can vary).
- Features: All features of Power BI Free. Ability to share reports and dashboards with other Pro users. Collaborate with others in workspaces. Create and distribute content to other Pro users. Access to more advanced analytics and data features.
- Limitations: All users who need to view or interact with shared reports must also have a Pro license.
Power BI Premium
- Best for: Larger organizations that need advanced capabilities, like dedicated cloud resources or on-premises reporting, and want to share content with a large number of users who don't have individual Pro licenses.
- Cost: Premium is available at a per-user level (around $20 per user per month) or at the organizational level with a dedicated capacity model (starting from $4,995 per capacity per month).
- Features: All features of Power BI Pro. No per-user license required for viewers (with Premium capacity, free users can view and interact with reports). Dedicated cloud resources, ensuring better performance. Support for larger datasets. Paginated reports. AI features, such as AutoML and Cognitive Services integration. On-premises reporting with Power BI Report Server.
- Limitations: Cost can be high, especially for smaller organizations. Some advanced features are only available at the higher Premium capacities.
Power BI Premium Per User (PPU)
- Best for: Individuals or smaller teams that need some of the advanced features of Premium without committing to the full Premium capacity.
- Cost: Around $20 per user per month.
- Features: All features of Power BI Pro. Most of the Premium features, like larger datasets, paginated reports, and AI features, but on a per-user basis.
- Limitations: Users need a PPU license to access Premium features, and sharing still requires recipients to have a PPU or Pro license.
Power BI Embedded
- Best for: Developers who want to embed Power BI visuals into their own applications.
- Cost: Based on the resources used, typically a pay-as-you-go model.
- Features: Embedding Power BI content into applications. No need for end-users to have a Power BI license. Supports both Pro and Premium features depending on the level of embedding.
- Limitations: Requires development skills and integration efforts.
Power BI Desktop
Power BI Desktop is a free, powerful application from Microsoft that enables users to create, visualize, and analyze data to build interactive reports and dashboards. It's a key component of the Power BI suite and serves as the primary tool for report creation before publishing to the Power BI service.
How It Fits into the Power BI Ecosystem:
Power BI Desktop is primarily used for report and data model creation. Once reports are created, they are published to the Power BI Service where they can be shared, refreshed, and embedded in other applications. Power BI Mobile allows users to access and interact with reports on mobile devices, extending the reach of Power BI Desktop reports to wherever users are.
